Executive Secretary
Summary of Position
Our client is an international construction company in Cambodia. They are looking for an Executive Secretary who will be responsible for maintaining the smooth running of an office through a variety of administrative and clerical duties, handle office schedules, coordinate meetings, and visits, organize files, answer phones and perform an array of other essential tasks. He/she will be based in Phnom Penh.
Main Duties and Responsibilities
- Answer phone calls and redirect them when necessary and reporting to PD
- Prepare Monthly Newsletter
- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
- Prepare and disseminate correspondence, memos and forms
- File and update contact information of employees, customers, suppliers and external partners
- Support and facilitate the completion of regular reports
- Develop and maintain a filing system
- Check frequently the levels of office supplies and place appropriate orders
- Travel arrangements for guests, Expat staff etc
- Document expenses and hand in reports
- Undertake occasional receptionist duties
Reporting to
- Project Manager
Other Requirements
- University degree in Administration, International Relations, or BEd in English language or relevance degree
- At least 2 years of experiences in Executive Secretary/Assistant Project Director
- Good communication, interpersonal skill, customer service, and relationship-building skills
- Organize, time management, and teamwork skills
- Negotiation and problem-solving skills, flexible, and honest
